The following user guide will explain how to locate Installer Milestone Payments within the EverBright platform. If an installer has a question regarding their payment amount, the Installer Payments page will be useful as it will provide a breakdown of payments per milestone. Or, they can run a Payment Report in the reporting section. Only certain users within a given organization will have access to view payments. See Step 1 to verify permission before giving details.

  • Typically, milestone payments will process within 48 hours or 2 business days of the approval date. If it has been more than 2 business days since their milestone approval and their payment status is still in processing, support should contact Andrew Schwartz and Tim Marchese with ticket details for further investigation.

If an installer calls in and inquires to inquire about their payment information, here’s what to do:

1.) Do they have approved access to this information?

a. Select the appropriate project from the Sighten Pipelinepipeline.

b. Select the Operations tab from the vertical ribbon on the left side of the page.

d. A new window will open showing a breakdown of payments per milestone.

The Payment Status is shown on the far-right column. This column This modal will provide a date when a payment has been made.

**Milestone payment structures vary between orgs. If the payment structure only indicates two milestone payments, the organization’s payment structure is set up that 100% of the payments are paid out between M1 & M2:

3.) Alternatively, you can run a Payment Report to pull data from multiple jobs and dates

Among the selection of available templates, is a payments report. The payments report will pull job details, installer payment status, and the date the payments have been made. This will be useful if an installer needs to cross-reference a payment with their projects in the pipeline. To generate a payment report, select Reports from the horizontal ribbon Log in as the Organization and click on the settings (gear icon) at the top of the page. Next, select New Report. From the New Report window, there is a template drop-down list. Select Payment Report.

Once the Payment Report has been selected, the user will be prompted to choose a date range as well as pick from a list of metrics to run the report against(choose Site Last Updated). Click Run Report to generate the payment report. Please note that the org will need to have had payments within the specified date range for anything to populate.

Also note that the report takes time to run so be careful on the date range selected to limit the processing time.

Once generated, the user can export the report in CSV format and delete any columns not useful to themtoolbar. From there, click on the payments tab from tool ribbon on the lower left side of the screen. This will bring up all payments/claw-backs for the Organization. There is a filter option that can be used to search for a specific workflow or job status.

Processing time to generate the report is based on the file size. If an installer is having trouble generating the report, try downloading a report for a shorter time period.

The report is automatically generated in CSV format and can be opened in Excel.

4.) Installer is confused by a payment they’ve received by EverBright because the amount doesn’t match any particular job or expected milestone payment - i.e. “what’s included in my recent EverBright payment?”

Solution: Run a payments payment report and select only the date that matches the SAP payment date. All the jobs and details included in that payment will be included in the report and the total should match.open it in Excel. Filter the sheet on either the invoice number or the date paid.

When downloading and opening the report in Excel, the invoice number defaults to scientific notation. To change this, right click on the column labeled ‘installer_payment_line_item_invoice_number’ and select format cells:

Change the formatting from ‘general’ to ‘number’ and set the decimal places to zero and click OK:

This will change the column to show the full invoice number. Then the user can search and filter by the invoice number:

If an installer reaches out and says that they received less money than they were expecting, this could be due to a claw-back. Filter either on invoice number or date paid to generate a list of transactions for a single invoice. Hide/delete the unnecessary columns so that just the amount, contact name, address, invoice number and payment date are left:

Check to see if there were any claw-backs on the invoice:

Payment to an installer for a particular invoice is the total of all transactions on the invoice (with claw-backs subtracted out). In the example above, there would have been a $40,912.62 payment for job Sandra Tanaka. However, there was also a claw-back on the same invoice/date for $30,548.76 for job Matthew Warner which resulted in a net payment of $10,363.86 payment to the installer

If an installer reaches out to support and states that their milestone has been approved, but they haven’t been paid…
