Default Assignments

Before we dive into how default assignments can be modified, allow us to tell you first of how job assignments work by default.

By default, all phases are assigned to the job's Job Creator. This means that the user that created the site is automatically assigned to all the job's phases. This has some exceptions based on a user's permissions (please see this article on setting User permissions: How do I manage users and set permissions? ). Not all users who have permissions to create a lead (Job Creator) have permissions to other phases such as (Project, Quote, Qualification, Proposal, Contract, and Operations). In these cases, by default, all phases that the Job Creator does not have access to will be Unassigned.

Modifying Default Assignments

Depending on your organization's dynamics, Being able to modify this will the defaults as stated earlier may not always work. To help you save a lot of timethe time of having to reassign each job, we allow all organizations to set default users for each job phase. This way, there won't be a need to re-assign a phase to a point person for each job created. So how does this work? Let's start with this page's parts and how each works.you can have all phases assigned to a point person within the organization. No work is left undone, and the team can work on a job seamlessly. Here's how it's done:

If you go to Organization settings and with the right permissions (Organization Admin), you'll see the Assignment tab. This is where you can edit default assignees for each phase. Here's how it looks like:

Below, you'll find how each button on the Assignment settings work:

After clicking the Edit button, all editable fields will be activated and the dropdown menus will no longer be grayed out. For any organization without a partnership with other organizations, no other options will be displayed. However, for organizations that have partnerships,

~I will edit this later, I think I need more insight on what on how this will work? For example, can downstream organizations assign to upstream organizations? Or only Upstream organizations can assign to Specific organizations ~ I will also need to include a section on ------how are organizations with downstream orgs or channel partners called?---- and what is the difference betweek a channel partner and downstream org?

User fields

All users ~will there be exceptions? For example, are people with permission restrictions (can't access Proposal) still listed on the phases they can't access? ~ will be shown on the dropdown menu, and the organization admin can click on the name of the person to be assigned by default on the specified phase. This may include exceptions, please read on below.

The organization field allows you to choose the organization where the user you have in mind is under. On the dropdown menu, you'll see all organizations that your organization has a partnership with, where your own organization's name will be shown above all other options. Here's an example:

Note that each person and organization will have different permissions still which will be based on the partnership of both organizations (exclusive or not), and the permissions for phases a partner organization is given and a user's permissions based on the team he belongs to.

The hierarchy by which permissions are considered would be as follows:

  1. Partnership limitations supersedes Team and Individual Permissions (certain downstream organization members may be given permission limitations for each phase, depending on what is set by the Upstream organization)

  2. Team Permissions supersede individual permissions

User field

Next, you may now choose a default person to assign for every phase, depending on the organization chosen. Note that, options on the dropdown menu for each phase will be limited to 1) all users under an organization, 2) Job Creator, and 3) Unassigned.

In the example below, we used our EverBright Solar & Demo organization. Since the only user in this organization with access to the Address phase is EverBright Tester, it is the only other user that appears other than the Job Creator and Unassigned.

Only for Unassigned Phase checkbox

If the job creator does not have access to certain phases or if an organization doesn't want a default assignee to be applied to all jobs, the said phase or phases will be Unassigned by default. This can be tweaked as well by selecting a default user to you can check the checkbox under this. If this box is checked, then the specified user will only be assigned to the said phase only if it is left Unassigned due to permission restrictions.Say Unassigned.

Note that you can not check this box if the selected user is 1) the Job Creator, or 2) Unassigned.
