How to find contracts on Docusign

When to use: 

  • If you need to find the status of a contract that's in progress
  • To confirm Docusign history (for example, when a contract was sent to whom or when a contract was signed by whom)
  • If a contract has been signed but has not properly looped back to Ops
  • If the contract needs to be resent to only one of multiple signers


Prerequisites:

  1. Contract is stored in Sighten or Sunlight Docusign account (we do not have access to Lifestyle's Docusign, and some other orgs choose to use their own Docusign accounts)
  2. You have enough information for a search:
    1. Customer name OR
    2. Customer email address OR
    3. Docusign ID (most reliable):
      1. Identify Quote UUID by clicking on the Quote summary button on the Quote tile
      2. Open PG Admin
      3. Use this query


Process:

  1. Navigate to Docusign login
  2. Enter the appropriate username:
    1. For Sunlight contracts, username is support@sunlightfinancial.com
    2. For contracts stored in Sighten's Docusign, username is sighten@sighten.io
    3. Enter password (stored in LastPass)
  3. Identify which area you expect the document to be found:
    1. "Completed" for document signed by all parties
    2. "Waiting for Others" for documents that have not yet been signed by all parties
    3. "Action Required" is very occasionally useful for documents that are awaiting partner signature, but it's rare to find a document in this section
  4. In the Search bar, enter your search criteria.  Please note that the default setting searches for documents within the last 6 months.  If you need to find a document older than that, please modify the date search field:
  5. Confirm you have the right document by verifying customer name, email, financial product, installer email, etc.  Please remember to also confirm the date the document was generated matches what is expected, as sometimes customers will /wiki/spaces/SS/pages/1258728 even after a contract has been signed.
  6. To Download the contract, use the download button and combine all files into a single PDF:
  7. To view or download the document history, choose the "More" dropdown and click "History":
    1. To print a copy of the history, choose "Print"
