Objective: To ensure authorized users have access to the resources they need while prohibiting access to unauthorized users.

Inviting Users

  1. Once in the application, select the gear icon in the upper right corner.

  2. Select “user management”.

  3. Select “invite user” in the upper middle of the screen.

  4. Enter the user’s email address and hit enter. You can add multiple users if needed, but their access should all be the same if doing so. (i.e. don’t add a support user with a deal processing user).

  5. All user’s roles should be “basic” (it defaults to this).

  6. Select the product access for the user’s team:

    1. Software Support: Jira service management / Jira software/confluence

    2. Configuration: Jira service management / Jira software/confluence

    3. Deal Processing: Jira software/confluence

    4. Sales: confluence

    5. Marketing: confluence

    6. Finance: confluence

  7. No group membership is used.

  8. Select “invite user” at the bottom.

Reinviting Users

  1. Follow steps 1-2 from the Inviting Users section above to get to the user list.

  2. Search for the user’s name.

  3. If they have not created their initial password, you can click “resend invite” in the same row as their name.

To Send a Reset Password Email to a User

  1. Follow steps 1-2 from the “InvitingUsers” section above to get to the user list.

  2. Search for the user’s name.

  3. Click the user’s name to go to their profile.

  4. Click the three-dot menu in the upper right next to “log in as user”.

  5. Select “prompt password reset.”

  6. Go through the verification step.

  7. At this time the email will have been sent to the user.

Disabling Users (we do not delete users to keep track of their previous work)

  1. Follow steps 1-2 from the Inviting Users section above to get to the user list.

  2. Search for the user’s name.

  3. Click the three-dot menu at the end of the row for the user.

  4. Click “Revoke site access.”

  5. You should see their name become greyed out.

Setting up Support users (after they have been invited in the process above)

  1. Go to the project they are associated with (SS or EBH).

  2. Select “Invite team” from the left-side menu.

  3. Enter the user’s email.

  4. Select “Invite”.

  5. Select “Project settings” from the left-side menu.

  6. Select “People” from the new left-side menu.

  7. Click “Add People” in the upper right of the screen.

  8. Type in the user’s name.

  9. Choose “Service Desk Team” as the role.

  10. Click “Add”.

This needs to be done separately for both the SS and EBH projects.

Tips

Once a user has access to confluence, if they are trying to access an article that has restricted access, it will appear like they do not have access.

To grant them access, they will need to be invited by the author or you if you have permission to do so.

To invite a user, navigate to the desired article and select “share” in the upper right corner.
