Removing Uploaded Documents Containing PII in Ops Phase

Documents uploaded by an installer or sales rep that include personally identifiable information(PII) will need to be removed from our platform. Examples of PII include social security numbers, account and routing numbers to a bank account, etc. Occasionally, deal processing will reach out to support if they come across any PII when a milestone is under doc review. Support is able to remove these documents using the steps below.

  1. Identify the org that the job is assigned to by clicking the Manage Ownership icon

 

 

2. Once the org is identified "log in as" that org as an EverBright Admin

 

 

3. Navigate to the Operations phase

4. Select Cancel Milestone Review at the top right of the screen

5.Next, login as EverBright LLC admin

6. Click the meatball menu next to the document containing PII.

6. Select Archive to remove the document.

7. Lastly, click Send for Approval at the top of the screen.

8. Add a comment to the milestone feed indicating that the PII was removed and note the ticket number linked to the request

Please note that if support receives a ticket containing PII please delete the image or text containing the PII.

When a document containing PII is removed from the platform, there will be a note under the subtask for the corresponding document. In the example below, the copy of the agreement contained PII and was removed from the platform:
